Groups overview

Groups are the primary way that users on Boathouse Connect are classified and organized. By placing rowers into groups, you can:

  • Set permissions for users
  • Assign equipment users are eligible to checkout
  • Specify who receives specific emails and text messages
  • Define which users are allowed to attend practices
  • Define which users are allowed to submit survey responses

Set permissions for users

Each group can be assigned permissions that determine what users of that group are allowed to do on Boathouse Connect. Users inherit all of the permissions assigned to all of the groups they are a member of. For example if the group "Assistant Coaches" is allowed to set practice lineups, and the group "Board of Directors" is allowed to send emails to the entire organization, then a user who is in both groups ("Assistant Coaches" and "Board of Directors") will be allowed to set practice lineups and send emails to the entire organization. At the same time, a user who is only in the "Assistant Coaches" group will only be allowed to set practice lineups and will not be allowed to send emails to the entire organization.

Assign equipment users are eligible to checkout

By assigning equipment to groups, all users in the group will be allowed to checkout the assigned equipment for private use as well as use the equipment to create practice lineups. As with permissions, users will inherit the checkout privileges of all of the groups they are a member of. We strongly recommend creating a "Coaches" group that is allowed to checkout all of the boats that will be used for practices so that they can use the boats to create practice lineups.

Specify who receives specific emails, text messages, and submit survey responses

When sending emails, text messages and surveys, the user creating the message/survey gets to determine which groups will receive the message/survey. If multiple groups are selected to receive a message/survey, users that are members of more than one of those groups will only receive the message/survey once.

Define which users are allowed to attend practices

Coaches can specify which groups are allowed to attend specific practices. Any user in a group listed for a particular practice is allowed to set their attendance as "Attending" or "Not Attending". Users not in a group listed for a particular practice have to be manually added by their coach to attend.
